After a year of using her initial dashboard, she was ready to refine what worked and build the infrastructure to scale her corporate team-building workshop business.

Lila Volkas Nutrition LLC is a wellness education company specializing in corporate team-building workshops. Led by founder Lila Volkas, the business creates immersive experiences like Mocktail Mixology, Mini Elixir classes, and Holiday Elixir workshops where participants learn about nutrition while creating delicious, health-focused beverages together.

After a successful first year using Notion, Lila had built a solid foundation for managing her workshops, ingredients, and client relationships. Her dashboard tracked workshop details, master ingredients, and supplies—but she'd hit a scaling challenge. As her business grew to include guest instructors and more complex inventory needs (like tracking 10 pounds of orange peel across multiple workshop variations), she needed her system to evolve from tracking to true automation.

The Before

The breaking point came as Lila was juggling projects and notes between three different systems— Notes app, Google Docs, and Notion—without clear rules for what belonged where. This fragmentation created confusion and duplicate work.

Meanwhile, her guest instructor Amanda couldn't see scheduled classes because of how relation properties work in Notion, and she couldn't access the Wrap Report—critical tools for running workshops independently. As Lila prepared to scale her corporate offerings, she needed systems that could support multiple instructors without constant manual intervention.

The inventory challenge was equally pressing. She had ingredients used across multiple workshops in different portions: Coconut Sugar packaged as 2 tablespoons in a 3x3 bag for one workshop, 1 tablespoon in a 2x2 bag for another. She needed to know her total sugar usage across all variations for purchasing decisions, not just track individual portions.

Lila found Sky Blue Jenny through the Notion Marketplace and was drawn to my personal approach. With a budget of <$1000 for ongoing hourly support, she was ready to build the infrastructure her growing business needed.

The Process

We approached this project through flexible consulting sessions, allowing Lila to direct our focus based on her most pressing needs. This adaptive approach meant we could tackle technical blockers immediately while building the more complex inventory system over time.

Lila now has inventory visibility that was impossible before. When she needs to know if she has enough coconut sugar for upcoming workshops, she doesn't open a spreadsheet or mentally calculate across different portion sizes—she opens Ingredient Inventory and sees the ending quantity automatically calculated based on all packed workshops.

Instead of guessing or over-ordering, Lila knows exactly how much raw ingredient stock she needs based on consolidated usage across all workshop variations. This is especially valuable for expensive or specialty ingredients with long lead times.

As Lila adds more workshop types, guest instructors, and ingredient variations, the inventory architecture supports that complexity without requiring manual tracking. She can confidently pursue corporate contracts knowing her back-end operations can handle increased volume.

The Notion support from Jenny has streamlined communication and information flow between me and my guest instructors, saving me significant time and creating a more efficient workflow for my team.
